How to use a PIN to log in to the Sapho App

How to set up a PIN for a device

Note: A PIN can only be set up for touch enabled devices.

Once the system admin of the organization has enabled and configured the PIN login option, Sapho’s end users can set up a PIN for their device by performing the following steps:

  1. Open the Sapho app.
  2. Enter the URL of your organization’s Sapho server.
  3. Log in with your Active Directory username and password.
  4. You’ll be prompted to set up a PIN.
  5. Set a PIN. The length of the PIN can be between 4 and 8 digits (0–9 only; no letters or special characters allowed).
  6. After clicking Save, you’ll be redirected to the Feed page of the Home App.

What happens if you log out of the Sapho app?

If you click Log Out from the top-right menu of the Sapho app, you’ll be shown the PIN login screen again, so you can re-enter your PIN to get back to your micro apps. You also have the ability to log in with your usual Active Directory credentials if desired.

What happens if you exit the Sapho app?

If you logged in with a PIN and then exit (that is, quit running) the Sapho app, the next time you open the app you’ll be asked to log in with your PIN. You also have the ability to log in with your usual Active Directory credentials if desired.

Does the same PIN work on multiple devices?

Yes, with the correct configuration.

Example: You are using the Sapho App on device A and have set the PIN to 2324. When you download and initially open the Sapho App on device B, you’ll be asked to log in with your usual Active Directory credentials and then prompted to set a PIN for this device. Set the same PIN you had set up previously for device A (i.e. 2324). This way you’ll be able to use the same PIN on both devices.

If you set a different PIN on device B, you’ll invalidate the previous PIN set on device A. So the only valid PIN will be the one set on device B , which can now be used to login on device A. That is so because the PIN login feature is per user, not per device.

Does the PIN expire?

Yes, the PIN expires after a specific number of days that were pre-set by the system administrator of your organization. When your PIN expires, you’ll be presented with the usual login screen for username and password. Simply enter your Active Directory credentials and then set your PIN again.

How many failed PIN login attempts are allowed?

The maximum number of failed PIN login attempts is pre-set by the system admin of the organization. Usually, this is 3 attempts.

If you fail to enter the correct PIN code more times than the maximum allowed by your system administrator, you’ll be warned that your PIN has expired.

However, keep in mind the following use case. Let’s say the maximum number of failed PIN login attempts set by your system admin is 3. You have entered incorrect PIN codes for 2 times and then you decide to log in with your Active Directory password. In this case, Sapho will reset the counter for failed PIN attempts from 2 to 0. So next time you try to login with your PIN you still have those 3 attempts.

How to reset an expired PIN?

If you forgot your PIN and exceeded the number of allowed incorrect PIN attempts, you can reset your PIN by following the next steps:

  1. Click Log in with password on the PIN login screen.
  2. Enter your usual Active Directory credentials.
  3. You’ll be prompted to set up a PIN. Enter a new PIN and save it.
  4. The Feed page of the Home App will be loaded.

How to change an existing PIN code?

If you didn’t forget your PIN but you want to change it, follow the next steps:

  1. Once you are logged in the Sapho app, go to the Settings page.
  2. Click the Reset button for PIN settings. You’ll get a confirmation message that your PIN settings were successfully reset; that is, the previous PIN was discarded. And you can set a new PIN on the next login.
  3. Log out.
  4. Log in with your Active Directory username and password.
  5. You’ll be prompted to set up a PIN. Enter a new PIN and save it.
  6. The Feed page of the Home App will be loaded.
